Cancellation & No-Show Policy
Our Policies
Kogarah Chiropractic and Acupuncture/ The Disc Clinic is committed to providing you with exceptional care. When a patient cancels without giving enough notice, they prevent another patient from being helped. Therefore, we have implemented the following policy:
- Minimum Notice: To cancel or reschedule an appointment, we request that you notify us within 24 hours of your appointment time. This allows us the opportunity to offer that availability to another patient in need of our care. When appointments are made, patients are verbally informed of their scheduled time, and it is also provided in writing, if necessary. As an additional courtesy, we send out text message reminders.*We can provide a printed or emailed schedule of all upcoming appointments upon request to assist you in keeping track of your sessions.
- Late Cancellations: A cancellation is considered late when the appointment is cancelled less than 4 hours before the appointed time. Whilst we understand that unforeseen circumstances can occasionally arise, frequent late cancellations may result in a fee.
- No-Shows: A “no-show” is someone who misses an appointment without cancelling it or notifying us before the appointed time. A no-show will result in a Non-Attendance Fee, up to the cost of the missed session. This will then be donated to the Australian Spinal Research Foundation.
- Non-Attendance Fee Payment: Any non-attendance/cancellation fees charged must be paid prior to your next scheduled appointment.
- Rescheduling: We understand that unforeseen circumstances may arise. If you are unable to make your appointment and fail to notify us within the stated timeframe, we will do our best to reschedule your appointment at the next available time slot that suits you, subject to availability.
- Emergencies/Sickness: We understand that emergencies and sudden illnesses can occur. If you need to cancel your appointment due to an emergency or a sudden illness, please let us know as soon as possible. We will work with you to reschedule your appointment and waive the cancellation fee on a case-by-case basis.
- Voucher Forfeiture: In the case of a late cancellation or a no-show, you may also forfeit any vouchers, or special offers for your session.
*It’s important to note that while we make every effort to send text message reminders, they should not be solely relied upon. Occasional technical errors may interfere with the delivery of these messages. Therefore, the responsibility of remembering appointment dates and times falls upon each patient. Please remember, a missed text message cannot be used as an excuse for missing an appointment.
